Booking collection notice

When you make a workshop booking, we collect the details needed to arrange and manage it, including your name, email address, telephone number, selected workshop, date and time, and information you choose to provide in the booking form. We use this information to administer your booking, contact you about it, deliver the workshop, maintain customer records and protect our business operations. If you do not provide required information, we may be unable to complete your booking.

1. Our commitment

Playback Concept Ltd. ("Playback", "we", "us" or "our") respects personal data privacy and seeks to handle personal data in accordance with the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong. This policy explains how we collect, use, retain and disclose personal data through our websites, workshop bookings, customer service and related activities.

2. Personal data we collect

• identity and contact details, including name, email address, telephone number and correspondence details;
• workshop and booking details, including the selected service, date, time, attendees, language preference and booking-form responses;
• communications, enquiries, notes and other information connected with a booking or service request;
• booking consent records, including the time at which terms and this privacy notice were accepted;
• attribution data connected with a booking, such as referring page, UTM parameters and advertising click identifiers including gclid or fbclid, where present in the link used; and
• technical information from normal website use, such as IP address, browser/device information, pages visited and server logs.

3. Why we use personal data

To the extent permitted by applicable law, we use personal data to process, confirm, administer, reschedule or cancel bookings; contact you about bookings, service requests, payment arrangements or operational updates; safely deliver workshops; maintain customer, booking, consent and business records; respond to enquiries, complaints and data requests; protect customers, systems and our business; prevent misuse; collect amounts due; handle disputes; and measure marketing effectiveness and improve our websites, services and customer experience.

We use personal data for direct marketing only where we have taken steps required by law, including obtaining consent where required. You may opt out at any time by contacting us.

4. Providers, international processing and disclosures

We may use service providers including SimplyBook.me (appointment scheduling and communications), HubSpot (customer relationship, booking and attribution records), Render (booking-service hosting), Squarespace, and other website, cloud, communications, payment or technology providers. We may disclose data to these providers, our staff, contractors and professional advisers where needed for the purposes above; and where required or permitted by law, to protect rights and safety, address fraud, disputes, insurance, collection or business reorganisation.

Some providers may process or store data outside Hong Kong. You understand and agree that reasonable cross-border transfers may occur where needed to provide services and operate our business. We do not sell personal data.

5. Cookies, advertising and attribution

Our websites and technology providers may use cookies or similar technologies for essential functions, security, analytics and advertising measurement. Campaign links may contain UTM parameters or click identifiers; we may retain these with the related booking to measure source and effectiveness. You can manage cookies through browser settings, although disabling some cookies may affect site functions.

6. Retention and security

We retain data only for as long as reasonably needed for the purposes in this policy, customer relationship management, dispute handling, debt collection, business or legal records and legal obligations. We use reasonable administrative, technical and organisational safeguards, but no internet transmission, third-party platform or storage system is completely secure.

7. Your rights and limits

To the extent required by law, you may request access to or correction of personal data we hold about you, ask about our data practices or withdraw marketing consent. We may require identity verification, charge a reasonable fee where permitted for a data access request, and refuse, limit or defer requests where permitted by law. Nothing in this policy limits non-excludable statutory rights.

8. Children, changes and contact

Our services are not designed to collect a child’s personal data without appropriate parental or guardian involvement. We may update this policy from time to time; the updated policy takes effect when posted unless stated otherwise.
